Coachify Cancellation Policy

This Cancellation Policy applies to all bookings made through Coachify, effective August 2025. A booking fee of 8% (including Stripe’s 2.9% + $0.30 transaction fees and a platform margin) is retained in certain cases, separate from coaches’ commission percentages, which vary based on activity and are deducted from their earnings. Coaches and clients agree to this policy during booking, as outlined in our Terms of Service (Section 7.4).

Client Cancellation

Before 24 Hours of Session: Cancel for a full refund, excluding the 8% booking fee. Example: A $50 session with a $4.00 fee refunds $46.00.

Within 24 Hours, Session Accepted: No refund; the coach retains full payment.

Before 24 Hours, Accepted, Less Than 24 Hours Remaining: Submit a cancellation request to your coach. If accepted, receive a refund excluding the 8% booking fee; if rejected, the coach is paid in full.

Coach Cancellation

Before 24 Hours, Accepted: Client receives a refund excluding the 8% booking fee (e.g., $46.00 of a $50 session with a $4.00 fee).

Before 24 Hours, Accepted, Less Than 24 Hours Remaining: Coach may request cancellation. If client accepts, client is refunded excluding the 8% booking fee; if client declines, coach must fulfill the session or refund the full session cost, with the 8% booking fee retained.

Three-Strike Policy for Coaches

• Coaches are allowed up to 3 cancellations within a 30-day period. After the 3rd strike, a mandatory $20 fee is imposed, and the coach’s account is placed on hold until the fee is paid.

• Cancellation strikes are tracked via our platform, with notifications sent to coaches via email or text.

• Excessive cancellations may lead to further account review or permanent suspension.

Additional Notes

• Refunds are processed within 5-7 business days via our payment system, subject to its policies.

• We encourage coaches to offer discounts on future sessions to help clients offset lost booking fees, fostering goodwill.

• Exceptions (e.g., illness) require documentation and are at Coachify’s discretion.
